The Fulcro Lead Orchestrator: 1.2 Million Leads a Month, Five Sources, One System

Tata Motors doesn't just buy access to a lead-routing tool. It licenses the Fulcro Lead Orchestrator as a real SaaS product, ibs fulcro's own proprietary platform, built specifically to solve a problem generic marketing automation platforms aren't built to solve: real, multi-source, multi-model lead orchestration at genuine national scale.

At a glance

Client: Tata Motors (Automotive)

Problem: Tata Motors received leads from 5 structurally different sources (Meta, Google, aggregators, SBI, Amazon), with no unified way to validate, deduplicate, score, and route them to the right dealer.

Solution: The Fulcro Lead Orchestrator: ibs fulcro's own proprietary SaaS platform, licensed by Tata Motors, unifying all 5 lead sources into one validated, scored, and routed pipeline.

Result: Leads processed monthly: 1.2M+

ibs Fulcro's role: Marketing Automation

The Challenge

A national automotive brand generates leads from genuinely different places at once: Meta and Google lead-form ads, third-party lead aggregators, brand-specific landing pages like SBI's, and marketplace channels like Amazon. Each of those sources has its own data format, its own duplicate-detection risk, and its own need to be routed to the right specialist, by car model, not just by lead volume. Left unmanaged, that's a genuine operational and data problem, not just a marketing one.

The Platform: A Real, Licensed SaaS Product

The Fulcro Lead Orchestrator is ibs fulcro's own proprietary platform, and Tata Motors genuinely licenses and uses it as a SaaS product, not a bespoke, one-off build maintained informally on their behalf. The platform processes 1.2 million+ leads monthly across all five sources combined: 1,235,870 total leads received, 818,788 successfully processed (a 66.3% success rate), 392,443 filtered as duplicates (31.8%), and 38,049 rejected for failing validation (3.1%), spanning 210 distinct, active car models.

How Each Lead Source Flows Through the Orchestrator

SourceReal Processing Steps
Meta (Facebook/Instagram Lead Ads)Validate form ID → fetch personal info from Meta → duplicate check → Profile Plus API lead scoring → WebEngage API enrichment → route to call centre by model → save to database → Meta CAPI feedback (new-lead event sent back to Meta)
Google (Lead Form Ads)Validate lead → fetch personal info from Google → duplicate check → Profile Plus API lead scoring → WebEngage API enrichment → route to call centre by model → save to database, feeding into a separate daily GECL conversion upload
Aggregators, SBI, and AmazonValidate API key (authenticates the specific aggregator, SBI, or Amazon) → duplicate check → Profile Plus API lead scoring → WebEngage API enrichment → route to call centre by model → save to database

Every source feeds the same duplicate-check, lead-scoring, CDP enrichment, and call-centre routing logic, regardless of how structurally different the incoming data format is.

Closing the Loop: LDR, GECL, and CRM Lower Funnel Events

Capturing and routing a lead well is only half the problem. The Orchestrator runs three further, real, distinct processes to close the loop back to where each lead actually came from. The Lead Data Reconciliation (LDR) process receives a daily call centre file over SFTP, validates and deduplicates it, and pushes a real conversion signal to Meta CAPI, while also updating the CRM with genuine lower-funnel events.

In parallel, the GECL process runs its own daily cycle specifically for Google: fetching T-2 conversion events, formatting them into a structured report, uploading it to an ibs fulcro-managed S3 bucket, and letting Google's own GECL (Enhanced Conversions for Leads) system automatically pick it up. A separate CRM Lower Funnel Events process takes real, post-visit dealership events (a Yellow Form, a Retail sale, a Green Form Lost) and pushes them back through the Orchestrator to Meta and Google via CAPI and GECL, so both ad platforms are optimising against what actually happened at the dealership, not just an early-funnel click.

66.3%
Lead success rate across 1.2 million+ leads

Why a 66.3% success rate, not 100%, is the honest and correct number to report. Nearly a third of incoming leads (31.8%) were genuinely, correctly filtered as duplicates, and a further 3.1% genuinely failed validation. Reporting a 100% headline number would mean the deduplication and validation logic wasn't actually working. A 66.3% success rate, against 1.2 million+ real leads and 210 active car models, is what real, working data hygiene at national scale actually looks like.

Downstream Integrations

Four real, distinct systems sit downstream of the Orchestrator, each doing a specific job. Profile Plus, a real, named lead scoring platform, scores every inbound lead in real time and returns a score and grade the Orchestrator uses to prioritise call centre routing. WebEngage, the CDP used in this system, receives the enriched lead profile and powers ongoing re-engagement journeys across push, email, and SMS. Real call centre partners, CNX, Cogent, and Globiva, receive leads distributed specifically by the car model selected in the original lead form, ensuring the right specialist handles each enquiry. And Meta CAPI closes the attribution loop, sending new-lead events and PII back to Meta after processing, so Meta's own ad optimisation improves based on real, downstream outcomes.

Why This Matters Beyond One Client

The real, transferable lesson here is that a genuinely national, multi-source lead operation needs orchestration logic built specifically for that complexity, not a generic marketing automation platform applied on top of it. Five structurally different lead sources, five conversion pathways back to the ad platforms that generated them, and a real, measured 66.3% success rate across 1.2 million+ leads a month are what it actually takes to make automotive lead generation work at genuine national scale, not just look automated on a dashboard.

ibs fulcro's own proprietary lead orchestration platform, licensed and used by Tata Motors as a real SaaS product. It unifies leads from five distinct sources, Meta, Google, Aggregators, SBI, and Amazon, into one system that validates, deduplicates, scores, enriches, and routes every lead to the correct call centre by car model.

The platform processes 1.2 million+ leads monthly: 1,235,870 total leads received, 818,788 successfully processed (a 66.3% success rate), 392,443 filtered as duplicates, and 38,049 rejected for failing validation, across 210 active car models.

Five distinct sources: Meta (Facebook/Instagram Lead Ads), Google (Lead Form Ads), third-party lead aggregators, the SBI website landing page, and Amazon, each with its own real, documented processing flow feeding into the same core validation, scoring, and routing logic.

No. Three further, real processes close the loop: Lead Data Reconciliation (LDR), which receives a daily call centre file and pushes conversion signals back to Meta CAPI and the CRM; the GECL process, a daily upload of conversion events for Google's Enhanced Conversions for Leads system; and CRM Lower Funnel Events, which pushes real, post-visit dealership outcomes back to both Meta and Google.

Profile Plus for real-time lead scoring, WebEngage as the CDP for lead enrichment and re-engagement, real call centre partners (CNX, Cogent, Globiva) for model-based routing, and Meta CAPI for conversion feedback back to the ad platform.
